Covid-19 Safety Information

Here at SM Photographer, we take Covid-19 very seriously and we understand the concerns you may have regarding being in direct physical contact with strangers. On this page, you will find information about the steps we've taken to mitigate risk to both our clients and ourselves while maintaining a professional working environment for all involved.

What we're doing:

Booking only outdoor, on-location sessions for all bookings except weddings and events:

Because we're not able to monitor our shared rental spaces or guarantee that those spaces and/or rental clients occupying them at other times are following the required Covid-19 protocols, we are unable to offer indoor studio sessions at this time. This means any session you wish to book must be outdoors and on-location until further notice.

Due to outdoor locations being public spaces, we cannot control pedestrian traffic or whether the same location will be used by other photographers, video shoots, tourists, deliveries, or other food and vehicle traffic during your session. We will do our best to work with you on location selection to limit the risk of high volumes of traffic on the day of your session.

Wearing masks: 

All SM Photographer team members will wear masks whenever being within six feet of the client or subject being photographed is necessary. Situations where this may occur include the setting up, positioning and breaking down of lighting and equipment such as light stands and softboxes, moving equipment or objects out of the frame, transporting equipment to and from vehicles to the physical shoot location etc, in addition to physically capturing images.                               

All clients and anyone attending the session, such as a parent or guardian, must be wearing a mask that covers their mouth and nose upon arrival and during any downtime such as resetting equipment or moving to another location. Anyone not being photographed must wear their mask for the duration of the session.

Limiting the number of people present at each session

We're limiting the number of team members present for sessions to only those necessary to facilitate a professional and efficient working environment. This number will vary depending on the type of session you have purchased and the amount of equipment necessary to execute that session. We are also limiting attendance to only the client or person being photographed, and one parent or legal guardian

Hand Sanitizer:

We'll have hand sanitizer available for both the client or subject being photographed and our team at all sessions, and will always use hand sanitizer before coming into physical contact with you as needed to fix hair and wardrobe issues.

Hair and Makeup:

Due to Covid-19, we are unable to provide hair and makeup artists at this time. All clients will need to arrange their own hair and makeup prior to their session until further notice.                          

Street studio:

We are working to create a mobile, outdoor "street studio" that will enable us to bring the studio to you, on-location, in an open-air environment. This requires extensive field testing to insure the highest-quality images can be created in this manner and will likely be available in mid-2021                                                                        

Covid-19 Cancellation Policy

While our required retainer fee remains nonrefundable and can be applied to a future rescheduled date provided we have not been previously booked for your new date, we are waiving all cancellation fees for Covid-19-related cancellations until further notice. This means that if you book SM Photographer for an event and you need to cancel due to Covid-19 closures, capacity limitations, or a positive Covid-19 test you will receive a full refund less the amount of your deposit and any products or services already rendered, regardless of the timeframe in which you have canceled.

This is different from our standard refund policy in which clients have until 7 days from contract signing to receive a full refund including retainer, a 50% refund no later than 120 days from the date of their event, and a 25% refund no later than 90 days from the date of their event, less the amount of their retainer and any products or services already rendered.

No-Fee Rescheduling:

We're waiving our fees for rescheduling your session until further notice. If you feel sick, have been in contact with someone who believes they have Covid-19 or has tested positive within the last 14 days, or if you believe you have Covid-19 or have tested positive within the last 14 days, please contact us to reschedule for a new date at no additional cost. Your new date must be no earlier than 21 days from your original date to allow for NYS quarantine requirements and is subject to availability.

Additionally, if you intend to be vaccinated for Covid-19 less than 21 days prior to your session, you must reschedule for a new date no earlier than 14 days after you have received your second dose.

All clients and/or their legal guardian will be required to sign a Covid-19 policy acknowledgment in addition to our standard contract, and SM Photographer reserves the right to terminate your contract if you or your legal guardian are exhibiting symptoms of Covid-19 or fail to follow safety protocols, or if anyone at your event, including the venue or its staff, fails to follow Covid-19 protocols established by NYS or if anyone in attendance exhibits symptoms of Covid-19. 

Please note that cancellations due to a positive Covid-19 test apply only to the client and their immediate family. This means a spouse, child, brother, sister, mother, father, or grandparents and does not include friends, extended family, roommates, or other guests. Cancellations due to a positive Covid-19 test outside of your immediate family will not be entitled to a refund if the cancellation occurs outside of our standard refund periods. Cancellations due to capacity limitations will only be eligible for a refund if the state, city, town, or county has updated their guidelines to adjust the maximum capacity to a lower limit than when you booked your event. Cancellations because you prefer to wait until you can have a larger number of guests will not be eligible for a refund if outside our standard refund period.
